Choose the right amount of judgment for the task.
“AI assistant” and “automation” describe different parts of a workflow. A rule can move known information; an AI tool can interpret or draft; a person can make the decision. A useful system often combines them deliberately.
Start with the same example.
Illustrative task: a customer emails about a job, gives an approximate date and leaves out the location. Someone needs to understand the request, check what is missing and decide how to reply.
Compare approaches on that exact task. Changing the example between options can hide where one method does more checking or quietly makes an assumption.

The right choice depends on how predictable the input is and how consequential the next action would be.
- Manual
- A person reads the message, records the next step and replies. This may be enough at low volume.
- Rules
- A rule creates an enquiry record, assigns an owner or reminds them to review it. The rule needs defined conditions.
- Reviewed AI
- An assistant prepares a summary or draft. The reviewer checks it against the original message and current information.
- External action
- Sending, confirming availability or accepting work needs its own agreed decision and controls.
Keep the source beside the draft.
The reviewer needs a quick way to compare the prepared text with the customer’s message and the current business information. If they cannot see the source, confident wording can conceal a missing detail.
For this example, a good draft asks for the location. It does not invent one, convert an approximate date into a booking, or imply that the business has accepted the job.
Test the choice on the difficult input.
Try a vague message, conflicting dates, a duplicate and a request outside the service. Check whether the process asks for help when it should. Compare total handling time, including review and corrections.
If the AI version needs constant rewriting, a structured form or a clear manual checklist may be the better improvement. If the inputs are stable and exact, a rule may be easier to maintain.
Agree the boundary before connecting it.
Write down what the process may prepare, what it may change and what needs approval. Give a person ownership of failures and a way to pause it.
